These Stations Terms of Service (“Stations Terms”) govern your access to and use of the WTNcloud Stations portal at stations.wtncloud.co.uk (the “Portal”), operated by WTNcloud (“we”, “us”, “our”). They apply to any individual or organisation operating a UK waste recovery, treatment, transfer or disposal site (a “Receiving Site”) that registers, claims or signs in to a Station Account on the Portal (“you”).
The Portal is provided free of charge and is offered as a companion service to the WTNcloud platform used by waste producers and carriers. The principal WTNcloud Terms of Service (the “Main Terms”) apply to the underlying records you interact with through the Portal (Waste Transfer Notes and Hazardous Waste Consignment Notes originated by other users) and continue to govern those records in their own right. These Stations Terms address the portal-specific aspects only.

The Portal is offered free of charge to Receiving Sites during the launch period. We reserve the right to introduce paid features, optional enterprise tiers or usage limits in future, on notice and subject to your right to stop using the Portal at any time.
By creating, claiming or signing in to a Station Account you confirm that (a) the Receiving Site you represent holds a valid environmental permit, exemption or other lawful authorisation to receive the categories of waste in respect of which Part E is being completed, (b) you are authorised by that Receiving Site to act on its behalf in recording receipts and submitting information to DWT, and (c) the contact, permit, address and API Code information you provide is accurate and is your own to provide.
Information you record in Part E (date and time received, quantity accepted, recovery or disposal code, acceptance status and signatory details) is treated as accurate as recorded by you. We do not independently verify the information; we transmit it to producers, carriers and DWT exactly as you have provided it. You are responsible for ensuring that what you record is true and that any departures from the consignor’s declared quantities or descriptions are accurately captured against the relevant Consignment.
Where you have stored a DWT API Code (or equivalent credential) against your Station Account and have not disabled automatic submission, we will submit a receipt of waste to DWT on your behalf each time a Part E is captured against a Consignment. The submission uses the credentials you provided and the data you recorded. You retain statutory responsibility for the accuracy of every submission and for any subsequent amendment, correction or withdrawal required under the rules governing DWT.
We will hold the API Code in encrypted form and will not share it with any third party. You may remove the API Code from your Station Account at any time, in which case we will stop submitting on your behalf and the obligation to submit will revert to you.
For each Station Account we hold the account holder’s name, email address and a hashed password; for each Receiving Site linked to the account we hold its name, address, environmental permit or exemption number, optional DWT API Code (encrypted) and the receipts captured through the Portal. We process this data under the lawful bases described in our Privacy Policy. The Portal does not display Consignments unless the Receiving Site has been linked to your Station Account through one of the matching mechanisms described in the Portal’s help materials (email match, permit-and- postcode match, or a manual claim accepted by us).

We may suspend or terminate a Station Account at any time on reasonable notice, or immediately where we reasonably believe these Stations Terms have been breached, where we are required to do so by law, or where the underlying Receiving Site has lost its environmental authorisation. Termination does not affect receipts already captured or submissions already made; those remain part of the statutory record.
The Portal is provided on an “as is” basis. To the fullest extent permitted by law, we exclude all implied warranties and accept no liability for any indirect or consequential loss, loss of profit, loss of regulatory standing, or losses arising from the inaccuracy of receipts you have recorded or DWT submissions made on your instructions. Nothing in these Stations Terms limits or excludes liability that cannot be limited or excluded under English law (including liability for death or personal injury caused by negligence and for fraud).
We may update these Stations Terms from time to time to reflect changes in the service, in DWT itself, or in applicable law. Where the change is material we will give you reasonable notice by email to the address registered to your Station Account, and you may stop using the Portal at any time if you do not accept the change.
These Stations Terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction in relation to any dispute arising under them. For all questions or notices in connection with the Portal, please contact us at:
